Business Intranets and Extranets
Web Information Center is a team portal that allows companies to manage their projects, customer relationships (CRM) and customer support issues quickly and effectively.
Powered with tools for managing project deliverables combined with collaborative features like team calendars, document sharing, threaded discussions and graphical dashboards, teams begin communicating and providing better service to their customers.
The CRM feature offers the ability to import contacts, create email templates and send out email campaigns to your opt-in contacts. As email recipients click on links within the email, you are notified via email and a campaign report shows the number of people that opened the email and the people that clicked on each link within the email.
Business Intranets and Extranets FAQs
Intranets can significantly enhance your team's productivity and reduce costs. Below are the most common questions regarding Intranets:
- What is an Intranet?
- Simply put, an Intranet
is a secure website that allows your team members to
collaborate on-line, designed to make your team more
production and to allow them to better communicate with
each other. Intranets normally allow team members to
share documents, manage employee workflow (like project
deliverables, to-do lists, calendars, etc.) and to
communicate online. Here is the official definition:
In' tra net - n. 1) a network connecting an affiliated set of clients using standard internet protocols, esp. TCP/IP and HTTP. 2) an IP-based network of nodes behind a firewall, or behind several firewalls connected by secure, possibly virtual, networks. - What are the basic features
of an Intranet? - The basic intranet should
allow your team to track their calendar and share
documents.
Calendar Management - Your team members should be able to log into the intranet and see all of their appointments and to-do list items. Schedules should be viewable in a daily or monthly format and should be printable.
Document Sharing - Your intranet should also allow your team to create folders (similar to the way you do on your personal computer), and upload documents to those folders. Document sharing allows you to keep all your important company documents in a central place, and your employees can go to this area to get the documents they need. As documents are uploaded, you should be able to automatically send emails to colleagues alerting them that new documents are available on your intranet. - What are advanced features
of an Intranet? - The more advanced intranet
allows deeper collaboration between team members:
Advanced Calendar Management - Not only should you be able to manage your own calendar, you should be able to arrange meetings with other team members, seeing when they are available for the meeting. Meeting notifications should be automatically sent via email, allowing team members to accept or decline meetings directly from their email.
Advanced Communications - Advanced intranets include the ability to create threaded discussion forums. For example, you may create a discussion forum for a specific project you are working on and sign people on your team up to use the discussion forum. As questions arise during your project, team members will post the question in the discuss forum. When posted, everyone signed up for the discussion forum is sent an email and the team member that knows the answer can reply to that email (everyone is alerted via email), allowing the discussions to be posted in the forum for future review and documentation.
Project Management - Advanced intranets also allows project managers to assign tasks and deliverables to their team members. Team members can update their percentage complete online, automatically notifying the project manager as things are updated. This way everyone on the team keeps informed as the project progresses. Project managers can also create weekly status reports directly from the task completion statuses.
Contact Management - Advanced intranets allow you to keep track of names, addresses, phone numbers and detailed notes for employees, clients, and vendors. - How do Intranets allow my
team to save money? - Effective use of
Intranets can save your team money in shipping costs,
airfare costs and in consulting time.
Shipping Charges - For example, if you have a team member located in a different city that needs a document (like an important spreadsheet, proposal, etc), you can ship the document via express shipment, email it or put it on the Intranet for immediate retrieval. Shipping it could cost $15 to $20 dollars for express shipment (next day). Emailing it allows you to get the document to them fast, but raises security concerns because hackers could pick the document up in delivery. By using a secure (encrypted) Intranet, the document can be uploaded in a secure environment, free of shipping charges.
Airfare Costs - Rather than making a trip to visit your other offices, many meetings can be done on-line or via conference call. You can use discussion forums to track important discussions and decisions that are made. You can use project tasks to post action items that arise in the meeting. This is much quicker and less costly than visiting your remote teams.
Consulting Time - With online collaboration, it takes less time to retrieve documents, manage team deliverables, and to determine if the team is working at it's optimal potential. By eliminating time consuming meetings and the time it takes to ship documents, your team can be working on billable tasks for your client.
How is Web Information Center different from other Portal products?
Feature Based Pricing – Some teams need to manage project plans, contacts, run email campaigns, share documents, hold discussion forums, etc, while other teams only want to do customer relationship management. Web Information Center allows you to purchase its features ala cart so that you pay for only the features you need.
Concurrent Licenses – Most vendors offer only NAMED user licenses, requiring you to purchase a license for every person that uses the software. Web Information Center provides concurrent licenses; you purchase only the number of users you wish to simultaneously connect to the software. Concurrent user licenses allow you to setup an unlimited number of users and normally require about 1/3 the licenses as the traditional named user license.
No Hassle Pricing – Web Information Center’s competitive pricing is published on our website and does not change from one client to another. We offer consistent discounts based on long term commitments and volume purchases.
Future Product Versions at no Cost – Our Software-as-a-Service (SaaS) clients receive future products at no additional cost. Our Enterprise clients in good standing (paid annual support) also receive major and minor versions at no additional cost.
Backed by Outstanding Support – Pragmatic Software’s support enjoys a 92% customer satisfaction rating. Our core competencies are built around providing excellent support. By providing searchable knowledge bases and an easy-to-use support ticket system, you can expect to receive a support follow-up with 1 to 2 hours during business hours.
